Choosing the Right Office Printer
July 12, 2008

Before the opening of my new store I had to purchase all the necessary office equipment. I decided not to wait until the last minute, but instead whenever I saw something on sale that I needed I went out and purchased it and tucked it away in our spare bedroom until the store opened. Unfortunately, when it came to office printers I didn’t sit and determine my business’s printing needs. I determined the needs for my own printer, the showroom receipt printers, but not the printer my employees would be using. I can’t control how much they print so I should’ve thought of that before I purchased the Brother MFC 5460 CN which takes three different kinds of ink cartridges. I end up having to purchase ink every month and it is costing me the amount of just buying a new printer. So before purchasing the right office printer consider the following:

  1. Determine your business’s printing needs.
  2. What volume of materials are you to produce?
  3. Does the printer need to be a part of a network? Size of network?
  4. Do you need color copies?
If you print small amounts is an all-in-one printer the best choice?

Awesome suggestions! I would also include thoughts about going paperless - if so, look for models with a scanning tray that can take a lot of the manual labor out of scanning multiple page documents. Also consider scanning software (I'd look for one that scans to PDF as an option), if a good version isn't bundled... you may be paying for additional scanning software that you'll have to search for yourself (download.com).
